Silent auctions are a popular way to raise money for a cause or organization, and the way you display your items can have a big impact on their success. When setting up your silent auction tables at in-person events, keep in mind that the goal is to catch people's attention and entice them to bid on your items.

Struggling to capture guests’ attention with your tables? Don’t fret! In this guide, we’ll cover exactly how to set up a silent auction table that’s designed to inspire bids and generate more funding for your cause.

10 Tips for Designing Visually Striking Silent Auction Tables

Whether you’re organizing a silent auction for the first time or looking to improve your techniques, here are some tips and strategies for effectively displaying different types of auction items at a silent auction:

1. Categorize your items

To enhance the bidder experience at the auction, we suggest categorizing items in the following way:

  • Arrange items by type: e.g., art, experiences, home goods
  • Arrange items by value: the most affordable items at the front for easy access

You can also request item donors to categorize items when they donate them or categorize items yourself upon delivery for clarity.

Here’s an example of the tables organized by type you can set-up for your silent auction:

  • Art Table: paintings, sculptures, photography prints, etc.
  • Experiences Table: spa day vouchers, adventure tours, cooking classes, etc.
  • Home Goods Table: kitchen appliances, decorative items, furniture, etc.
  • High-End Items Table: luxury watches, designer handbags, fine jewelry, etc.
  • Affordable Items Table: books, small electronics, kitchenware

This way, people can compartmentalize what they’re bidding on and even happily bid across tables!

2. Use visual aids

Pictures speak louder than words, so make sure to include clear and attractive photos of each item on display to upload to your mobile bidding platform. You don’t necessarily need to include printed photos for every one of your items, but you might consider printing out photos with descriptions for gift baskets or items that are hard to see.

It’s important that you do upload pictures to your mobile bidding platform because, as the phrase goes, “out of sight, out of mind!” You want folks to remember the items they were really excited about when they go back to their seats. These visual aids help entice bidders more than they would’ve just based off of pure memory and give them a better idea of what they're bidding on.

3. Utilize height and space

Create an eye-catching display by varying the height and spacing of your items. Use shelves, risers, or even stacked boxes to add dimension to your display.

4. Highlight unique features

If an item has a special feature or attribute that makes it stand out, make sure to draw attention to it in your display. This could be highlighting the artist's signature on a painting or showcasing the craftsmanship of a handmade item.

5. Offer sneak peeks

Consider setting up a preview night before the official silent auction where potential bidders can view the items up close. You may offer this to anyone who comes before the official event or only to certain people who opt for a VIP experience. Consult with your stakeholders on how to best go about these special sneak peeks. Whatever path you choose, this will undoubtedly create buzz and anticipation for the event.

6. Provide detailed descriptions

Along with photos, be sure to include detailed descriptions of each item including its condition, size, and any relevant information about its background or history.

Here’s a great example of an imaginary item, a signed football from Travis Kelce from the 2024 Superbowl:

This signed football from Travis Kelce, tight end for the Kansas City Chiefs and Superbowl champion, is a true gem that combines both athleticism and star power.
This stunning football features a sleek design with the official NFL logo and is made of high-quality leather, making it a durable piece for display or playing catch with friends, if you dare. The signature of Travis Kelce is beautifully placed on the side of the ball, adding a personal touch to this already impressive item.
Measuring at an official size and weight, this football is perfect for displaying on your shelf or adding to your game day equipment. Its mint condition ensures that this ball will remain a treasured possession for years to come. Not only does it represent the pinnacle of athletic success, but it also holds sentimental value as this was a highly publicized game for both Travis and his new leading lady.
We cannot forget about another famous name associated with this incredible football - Taylor Swift. As many fans know, Swift and her girl squad were present for his team’s close win. So not only are you bidding on a one-of-a-kind sports memorabilia item, but you're also getting a piece of pop culture history.
Don't miss out on this opportunity to own an autographed football from one of the most talented players in the NFL and be reminded of this Superbowl victory every time you see it on display. Bid now and add some star power to your collection!

7. Incorporate technology

In today's digital age, mobile bidding makes fundraising events more successful. With mobile bidding software, your event goers can easily browse auction items, place bids, and receive notifications on bid status, which helps increase bidding.

Handbid, in particular, enables bidders to easily learn more about items and place bids with just a few taps.   The Handbid platform also allows organizers to streamline event management by tracking bids, communicating with bidders, and processing payments seamlessly.

Below, you can find more details on how to successfully use mobile bidding software to display items online. By posting these items online and doing it well, you allow the folks at home to place bids remotely! That way, you don’t leave money on the virtual table.

The way we see it, you can only win by implementing mobile bidding software into your silent auction event.

8. Create ambiance

Set the mood by creating an inviting and aesthetically pleasing atmosphere. This could include using soft lighting, playing background music, or incorporating decorative elements that match the theme of the event.

If your organization is operating on a tight budget, this might be a great opportunity to ask event sponsors to provide decorations or live band services to create a more well-rounded experience for guests. As you are planning, make sure that the folks running the event and the folks running partnerships know about this golden opportunity!

9. Offer samples

If you have items such as food or beverages up for auction, consider offering samples for bidders to try before they bid. This will give them a taste of what they could potentially win and may entice them to bid higher.

10. Don't overcrowd

While it's important to showcase as many items as possible, be mindful not to overcrowd your display. This can make it overwhelming and difficult for bidders to see everything clearly. Use your space wisely and leave room for people to browse comfortably.

How to Display Gift Cards at a Silent Auction

Here are a few key things to keep in mind when bidding off gift cards at your silent auction. First, make sure the gift cards are prominently placed and easily visible to all attendees. This could mean placing them on their own designated table or hanging them on a display board. If you get virtual gift cards, make sure to have them printed out or show some sort of physical representation.

Consider grouping similar gift cards together to create more attractive packages for bidders. For example, if you have multiple restaurant gift cards, display them together as a "dining package."

Or, create attractive displays for each category using props and decorations that reflect the theme of the event or the type of gift card being offered. For example, if there are spa gift cards, you could set up a silent auction table with a relaxing atmosphere, scented candles, and soft music.

Place the display in a high-traffic area where it can easily be seen by attendees and provide enough space for people to browse comfortably. You can also promote the gift cards effectively by mentioning them in event announcements and encouraging attendees to check them out during the silent auction.

Lastly, don’t forget to label each gift card with its value and any restrictions or expiration dates. This will prevent any confusion or disappointment among bidders.

Displaying Silent Auction Items Virtually

Don't forget, when it comes to hosting a successful silent auction event, the way you display your items can make all the difference! With the rise of technology and online platforms, showcasing your auction items virtually through online catalogs and mobile bidding apps has become increasingly popular. Not only does this modern approach add a fun and interactive element for bidders, but it also allows for an extended reach to potential participants who may not have been able to attend an in-person event.

There are 4 items shown that include a picture, description, and price: Live Auction Desserts ($574), 1 dozen alcohol infused cupcakes ($50), 12 chocolate covered strawberries ($45), 12 cupcakes ($55). All items show as being SOLD.

By utilizing virtual platforms, you can easily create visually appealing catalogs that showcase each item with detailed descriptions and high-quality images. This not only allows bidders to browse through items at their own convenience, but it also gives them a better understanding of what they are bidding on.

Using mobile bidding apps allows for a seamless bidding process, making it easier for individuals to place bids and track their favorite items in real-time, whether they’re at the event or at home! While it may be an extra task, we believe incorporating virtual bidding is crucial in today's digital age and can greatly enhance the success of your fundraiser.

What’s a Rich Text element?

The rich text element allows you to create and format headings, paragraphs, blockquotes, images, and video all in one place instead of having to add and format them individually. Just double-click and easily create content.

Static and dynamic content editing

A rich text element can be used with static or dynamic content. For static content, just drop it into any page and begin editing. For dynamic content, add a rich text field to any collection and then connect a rich text element to that field in the settings panel. Voila!

How to customize formatting for each rich text

Headings, paragraphs, blockquotes, figures, images, and figure captions can all be styled after a class is added to the rich text element using the "When inside of" nested selector system.
